Depending on the context, Karumi may act either as a data controller or as a data processor.

When Karumi Acts as a Controller

Karumi acts as a controller when:

  • You visit karumi.ai or other Karumi-owned properties.

  • You request information from us.

  • You attend a demo operated directly by Karumi.

  • We process information for account administration, billing, security, fraud prevention, legal compliance, or service reliability purposes.

When Karumi Acts as a Processor

When a customer deploys Karumi on its website, product, or digital properties, that customer generally acts as the data controller and Karumi acts as a processor on the customer's behalf.

In those circumstances:

  • The customer determines the purposes and means of processing.

  • Karumi processes personal information according to the customer's instructions and applicable agreements.

  • The customer's privacy notice governs the customer's use of personal information.

If you have questions about how a customer uses your information, please contact that customer directly.

You are not required by law to provide personal information to us. Some information is necessary to create an account, enter into a contract with us, or take part in a demo. If you choose not to provide it, we may not be able to provide the Services or the demo experience.

Legal Bases for Processing

Where the EU or UK General Data Protection Regulation (GDPR) or similar laws apply, and Karumi acts as a controller, we rely on the following legal bases:

Performance of a contract. To provide and operate the Services, administer accounts, handle billing, and respond to support requests.

Legitimate interests. To secure and improve the Services, prevent fraud and abuse, monitor performance and reliability, generate analytics and insights, and communicate with business contacts at current and prospective customers about our services. Our legitimate interests are running, protecting, and growing our business. You can object to processing based on legitimate interests at any time (see Your Privacy Rights).

Consent. Where we ask for it, for example for optional marketing communications or non-essential cookies. You can withdraw consent at any time, without affecting processing that happened before you withdrew it.

Legal obligation. To comply with laws that apply to us, such as tax, accounting, and lawful requests from authorities.

Where Karumi acts as a processor, the customer (as controller) is responsible for establishing the legal basis for processing.

No AI Model Training Using Customer Data

Karumi does not use customer recordings, transcripts, chat messages, or other customer content to train or fine-tune generalized machine learning or artificial intelligence models without the customer's prior written consent.

Karumi may use customer data solely to provide, maintain, and improve the Services, including improving prompts, workflows, agent behavior, debugging, analytics, and performance optimization.

Automated Decision-Making

Our Services use artificial intelligence to conduct demonstrations, answer questions, and generate summaries and insights.

We do not make decisions based solely on automated processing that produce legal effects concerning you or that similarly significantly affect you.

Recordings and Transcripts

Karumi may record audio, video, transcripts, chat messages, and interaction data generated during demo sessions.

Such information may be used to:

  • Provide the Services.

  • Generate summaries and analytics.

  • Troubleshoot issues.

  • Improve service quality.

  • Fulfill customer requests.

  • Maintain security and reliability.

Where Karumi provides services on behalf of a customer, recordings and transcripts are processed on behalf of that customer and according to the customer's instructions.

De-Identified and Aggregated Information

Data Retention

Karumi retains personal information only for as long as necessary to:

  • Provide the Services.

  • Fulfill contractual obligations.

The retention period depends on the category of information:

Contact and account information. Retained for the duration of our relationship with you or your organization, and afterwards as needed for legal, tax, and accounting purposes.

Demo session information (recordings, transcripts, chat messages). Where processed on behalf of a customer, retained according to the customer's instructions and the applicable agreement. Customer Data is generally retained during the applicable subscription period and for up to thirty (30) days following termination.

Technical and diagnostic information. Retained for limited periods appropriate to security monitoring, fraud prevention, and troubleshooting.

Communications. Retained for as long as needed to resolve your request and to keep a record of the interaction.

In all cases, information may be retained for a longer period where required by law or necessary for security, fraud prevention, legal claims, or compliance purposes. When information is no longer needed, we delete it or de-identify it.

Your Privacy Rights

Depending on your jurisdiction, you may have rights to:

  • Access personal information.

  • Correct personal information.

  • Delete personal information.

  • Restrict processing.

  • Object to processing.

  • Receive a copy of personal information.

  • Withdraw consent where processing is based on consent.

If Karumi processes your information on behalf of a customer, we may direct your request to that customer.

Right to Complain to a Supervisory Authority

If you are located in the European Economic Area or the United Kingdom, you have the right to lodge a complaint with your local data protection supervisory authority.
